Director of the Dean's Office:

Duties

  • Receiving incoming mail addressed to the Director, classifying it, and presenting it to him after recording it in the incoming mail register, then forwarding it to the relevant offices and departments in accordance with the instructions issued in this regard.

  • Preparing topics and issues to be presented to the Director and completing the related data and information in coordination with the various offices and departments.

  • Following up on the implementation of topics, decisions, and instructions issued by the Director, as well as the recommendations or decisions resulting from meeting minutes that are referred to the Director or that he chaired or participated in, to ascertain what has been implemented and submitting a report thereon to the Director.

  • Preparing a special register for decisions issued by the Director, stamping them with the decisions stamp, retaining a paper and electronic copy, and referring them to the directors of offices, departments, and employees concerned with the decision.

  • Organizing the Director's meetings and appointments, ensuring the meeting place is prepared and all necessary requirements are provided, and supervising the reception of officials and delegations.

  • Preparing for the Director's meetings, including all required documents and data, distributing copies of the agenda to those concerned, and undertaking the task of meeting secretary, including taking minutes, recording them, and archiving them.
